In the first part of this series, we looked at what a land appraisal is and how to choose the right appraisal company. Once you have engaged a qualified appraiser, the next step is preparing your property — and the right documents — so the valuation goes smoothly. A well-prepared file lets the appraiser work faster, reduces back-and-forth, and produces a report that holds up with banks, auditors, and courts.

This guide covers everything you need to gather before the appraiser arrives: the title and ownership documents, tax records, plans and surveys, supporting papers for any improvements, and the items that are easy to overlook. Having these ready is one of the simplest ways to keep your valuation accurate and on schedule.

Why Documentation Matters for a Valuation

An appraiser’s opinion of value is only as reliable as the evidence behind it. Documents establish three things the valuation depends on: that you own the property, exactly what is being valued, and what condition it is in. Missing or inconsistent paperwork is one of the most common causes of delay, because the appraiser must pause to verify details before continuing.

Gathering the right records in advance also protects you. It surfaces issues — an outstanding tax balance, a boundary that does not match the title, an unregistered improvement — early, while there is still time to address them, rather than after the report has been questioned.

Title and Ownership Documents

These prove who owns the property and define what is legally being valued. Prepare the following.

Certificate of Title. A clear copy of the Transfer Certificate of Title (TCT) for land, or the Condominium Certificate of Title (CCT) for a condominium unit. This is the single most important document in any valuation.

Updated certified true copy. Many engagements require a certified true copy of the title issued recently by the Registry of Deeds. An older copy may not reflect recent annotations, liens, or encumbrances.

Owner’s identification. A valid government-issued ID of the registered owner, matching the name on the title. For corporate owners, prepare the SEC registration and a board resolution authorizing the transaction.

Deed of sale or proof of acquisition. The document shows how the property was acquired, which helps confirm the chain of ownership where needed.

Tax and Assessment Records

Tax documents confirm the property’s declared value and its standing with the local government. Have these on hand.

Tax Declaration. The latest Tax Declaration for the land and, separately, for any building or improvement. These reflect the assessed value used by the local government.

Real Property Tax receipts. Current Real Property Tax (RPT) receipts showing payments are up to date. An outstanding balance can complicate a sale or financing and should be settled where possible.

Tax clearance. A real property tax clearance from the local treasurer’s office, if your purpose requires it, confirming there are no unpaid taxes on the property.

Plans, Surveys, and Boundaries

These define the physical extent of what is being valued and let the appraiser confirm that the land on the ground matches the land on paper.

Approved survey plan. The lot or subdivision plan, ideally a copy bearing the approval of the relevant land authority. This shows the exact dimensions and area of the parcel.

Vicinity or location map. A simple map or sketch showing how to reach the property and what surrounds it. Clear directions save time and help the appraiser assess access and neighboring uses.

Lot boundaries. If boundary markers or monuments exist on site, point them out during the inspection. Discrepancies between the title area and the actual occupied area are worth flagging early.

Documents for Improvements on the Land

If the land carries a building or other structures, the appraiser will value these as well. Prepare supporting papers for any improvements.

Building permit and occupancy permit. These confirm that the structure was built legally and is approved for use. Unpermitted improvements can affect how, or whether, they are credited in the valuation.

Floor and building plans. Architectural or as-built plans showing the layout and floor area of any structure.

Construction cost records. Where available, records of construction or renovation cost help support the cost approach to valuation, particularly for newer or special-purpose buildings.

Zoning and Land Use Documents

Zoning and land use documents help establish how a property may legally be used and developed. These records are particularly important for valuation as they may directly affect a property's highest and best use and overall market value.

Zoning Certification. A zoning certification issued by the local government unit (LGU) indicating the property's zoning classification (e.g., residential, commercial, industrial, institutional, or mixed-use) and confirming permitted land uses within the area.
Comprehensive Land Use Plan (CLUP) and Zoning Ordinance. Relevant excerpts from the city's or municipality's Comprehensive Land Use Plan (CLUP) and Zoning Ordinance, which provide guidance on allowable land uses, development standards, density restrictions, and future land use directions within the locality.
Development Regulations. Information on applicable development controls such as Floor Area Ratio (FAR), Building Height Limits (BHL), setbacks, open space requirements, parking provisions, and other planning regulations that may influence the property's development potential.
Locational Clearance or Zoning Permit. Where applicable, copies of approved locational clearances or zoning permits demonstrating compliance of existing or proposed developments with local zoning regulations.

Land Use Conversion Documents. For agricultural properties or sites undergoing a change in use, copies of land use conversion orders, approvals, or clearances issued by relevant government agencies, including the Department of Agrarian Reform (DAR), if applicable.
Special Planning or Overlay District Regulations. If the property falls within a special development zone, heritage district, tourism area, airport influence zone, or other overlay district, copies of relevant regulations and restrictions should likewise be obtained, as these may affect development rights and property value.

Documents Easy to Overlook

A few items are routinely forgotten but can hold up a valuation if missing. Check for the following.

Lease or tenancy agreements. If the property is leased, copies of the lease are essential, especially when the income approach applies. The rent and terms directly affect value.

Special Power of Attorney. If someone other than the registered owner is dealing with the appraiser, a notarized Special Power of Attorney (SPA) authorizing them is usually required.

Annotations and encumbrances. Disclose any mortgage, lien, easement, or court case affecting the property. These appear on the title and materially affect value, so hiding them only undermines the report.

Homeowners’ or condominium association records. For properties within a village or condominium, association dues statements and any relevant rules can be relevant to the assessment.

A Simple Preparation Checklist

Before the appraiser’s visit, run through this short list. Having these ready covers the great majority of land valuations.

Certified true copy of the TCT or CCT

Owner’s valid ID (and SEC papers plus board resolution, for companies)

Latest Tax Declaration and current Real Property Tax receipts

Approved survey or lot plan, and a vicinity map

Building and occupancy permits and plans, if there are improvements

Lease agreements, an SPA, and disclosure of any liens or encumbrances, where applicable
